New Patient Experience Project 

The Challenge

The practice operates under a concierge care model, which offers highly personalized, membership-based healthcare but can be unfamiliar to many prospective patients. During discovery visits and new patient onboarding, the team needed a clear and engaging way to communicate the practice’s philosophy, providers, and membership options without overwhelming patients with information. The challenge was to present complex details in a format that felt approachable, visually cohesive with the brand, and reflective of the elevated, relationship-focused experience the practice aims to deliver.

Strategy

To create a clear and welcoming introduction to the practice, I developed a welcome folder that organized key information into an intuitive, easy-to-navigate format. The folder itself provided a foundation with the practice’s mission and values on the exterior and an internal layout that addressed common questions while outlining the three membership models offered. Supporting materials inserted into the folder provided more personalized information for each visitor, including a welcome letter, a provider overview sheet with photos and locations, and a provider-specific document detailing membership options, pricing, and a brief biography. Additional materials, such as QR codes linking to the practice’s social media channels, helped connect the in-office experience with the organization’s broader digital presence.

Creative Direction 

The visual approach emphasized clarity, polish, and brand consistency to reflect the practice’s elevated, relationship-centered model of care. The folder and supporting materials were designed to align closely with the brand’s established aesthetic, using clean layouts, thoughtful typography, and balanced spacing to ensure complex information remained easy to digest. Provider photography and clear sectioning helped personalize the materials while reinforcing trust and familiarity. The overall design aimed to create a refined, welcoming first impression that mirrored the high-touch experience patients encounter within the practice itself.

Results

The welcome materials quickly became the standard onboarding resource for new and prospective patients visiting the practice. By presenting membership details, provider information, and the practice’s philosophy in a clear and visually cohesive format, the folders helped patients better understand the concierge care model and what to expect from the experience.

Patient feedback reinforced the effectiveness of the materials. In post-visit surveys, nearly 100% of respondents who completed the questionnaire reported that the information provided in the folder was helpful and played a role in their decision to move forward with a membership. The project ultimately strengthened both the clarity of patient communication and the overall first impression of the practice.
